Office of Registrar

Overview

The Robe College of Teachers Education office of Registrar, encompassing of four units committed mainly to serve Streams and students by providing services of scheduling, registration, record keeping and reporting. The office supervises student registration, maintains student academic records and record grades, issue academic transcripts and diplomas, authenticate enrollment and graduation, assigns classrooms and administers the issuing, renewing and replacing of the students’ identification cards.

Moreover, the office develops and implements efficient and effective student information system including student record management that enables the  College  to collect, process, deploy and disseminate information and data on department programs, student population, and student activities. The registrar prepares the Academic Calendar of the College each year in consultation with the Oromia Educational Bureau and submits the same to the academic commission(AC) for approval; ensures the timely distribution of such Calendar to the pertinent units of the College and sees to it that academic units strictly adhere to the Calendar;

The office permits students to view their academic records; allows only academic staff who have signed the  College  confidentiality agreement to have access to student records, disclose student records to law enforcement authorities and disclose student records to other persons only with the expressed consent of the student concerned; Supports, coordinates and oversees the registrar units of the  College  in particular by providing them with leadership, support and oversees academic units for the implementation of related technology application in support of enhanced services offered through registration and students record management; and the registrar implements the  College `s policies for enrollment and student records management.

 In general, RCTE registrar office has the following roles;

  • Recruitment and registration of students according to the prepared plan of  Oromia Regional Education Bureau;
  • Keeping academic records of students appropriately and systematically;
  • Receiving admission applications to the college and submitting these to the concerned colleges;
  • Provision of student transcripts and credentials;
  • Issuing, renewing and replacing, identification cards; and
  • Preparing list of students recommended for graduation and submits to the AC for approval.

The four units under the Registrar office are:-  

  • Language Stream  Registrar unit
  • Social Sciences stream Registrar unit
  • Mathematics and Natural Sciences stream Registrar unit
  • Aesthetics streams Registrar unit

For regular and extension students, the College follows a two-semester calendar of sixteen weeks of classes each. The summer education programs have a term system. The calendar for each year is prepared by the College Registrar and approved by the College  AC. Regular student programs are run usually from the second week of every October to the end of June, except for prospective graduates who stay a bit late in campus until they graduate. Summer programs usually commence in early-July and run through September.

Admission Information

Admissions to the programs of the institute from preparatory schools (12 C) shall be based on completion of the preparatory program and obtaining the necessary pass marks in the Ethiopian Higher Education Entrance Examination (EHEE).

General Registration Guidelines

Every student should register at the beginning of each semester in person, in order to keep the enrolment active. The office of the registrar will conduct a registration on a pre-arranged date and time. Once the regular registration is over, there is a further two-day late/penalty registration period, unless otherwise specified by college academic commission.

Student who fail to register with in the dates set for both normal and late registration are subjected to disqualification from the institute for at least one year.

A student who intend to dropout or with draw from the college for a year or a semester has to discuss his/her issue with the academic year advisor, department and stream. The college does not encourage drop out or with draw unless the student’s problem is very serious one.

Application to withdraw must be within six weeks after registration for the semester and presented to the office of the registrar. A student who withdraws for inadequate reason will be denied for readmission.

Up on completion of each academic year and upon graduation, students must undergo proper clearance procedure. If such procedures are not strictly followed a students may later be denied to use all college services.
